It’s always nice to see sites being added to the portfolio and to ensure we onboard these efficiently and more importantly to avoid any issues with higher ‘out of contract’ rates can you please provide the following information prior to your management commencement date:

* If you are using our invoice integration service, please provide the accurate ‘Schedule’ and ’Heading’ data for the allocation of the invoice, this can be provided in the supporting spreadsheet.

It is important the onboarding team as part of the handover request insist on obtaining the last utility invoices ideally prior to commencement of the management, this is to ensure the supplier invoices are directed to the new Managing Agent with invoices continually being processed and paid efficiently.

Should you have taken on a newly acquired RTM or Enfranchisement client – we need to be aware prior to the commencement date to ensure the change of tenancy and the supply is contracted correctly.

We call this a ‘CoMA – Change of Managing Agent’ to ensure we remove the supplier invoices from the platform and re-direct these to the new Managing Agent, can you please provide;

Where management is lost to a RTM or Enfranchisement client, we need to be notified immediately after the acquisition with the new client / managing agent (if applicable) contact details along with a final meter reading (photo of the meter required) to ensure we remove the liability from your client at the earliest opportunity and to enable you to receive the final invoice and update your final accounts.
